As an automator, you can't afford to use just any app. The tools you choose are the foundation of your business systems, and a poor choice can lead to wasted time, money, and even lost clients. So, how do you navigate the crowded marketplace of software solutions? Here are the factors I consider before integrating a new tool into my business systems.

1. Reviews and Reputation

What are people saying about the tool? I always start by checking reviews on sites like G2, Capterra, and TrustRadius. I also look for discussions on social media and in professional communities. This gives me a sense of the tool's strengths, weaknesses, and overall reliability.

2. The Team Behind the Tool

Who are the founders? What is their vision for the product? I like to know who I'm doing business with. A strong, experienced team with a clear vision is a good indicator of a tool's long-term viability.

3. Data Privacy and Security

Where are their servers based? I have a strong preference for EU-based servers due to their strict GDPR rules. Data privacy is a top priority for me and my clients, so I need to be sure that the tools I use are compliant with the highest standards.

4. User-Friendliness

Is the tool user-friendly? I often teach others how to use the systems I build, so I need to make sure the tools I choose are intuitive and easy to navigate. While the world of workflow automation often involves a certain level of technical complexity, I strive to create an environment that is as user-friendly as possible.

5. API Availability

This is my primary qualifier. Does the tool have a well-documented and accessible API? I once made the mistake of building a system on a tool that didn't allow for integration with n8n.
